Thanks for the information Ben. I had called and reserved a room at
the Holiday Inn this morning before reading this post. I was told that
the rooms are almost gone. Have not received the above information by
mail yet. Has Martin sent it out yet?

I received it (with flyers for the ATSF Ga-6, Fe-6 through Fe-20
rebuilds, and Rr-5 through Rr-9 and Rr-11 kit reissue) in the mail
yesterday.

That seems unusual, although I think last year they added more

How many of you have called the 800 number for the hotel and have gotten the "we are almost sold out" answer? This is because the folks at the National Reservations for Holiday Inn are holding out for people who are willing to pay the regular price for the rooms. This is the same stuff the Holiday Inn National Reservations Bureau did last year.

Call the hotel direct using the local Naperville number listed on your info sheet from Martin. I spoke with the Holiday Inn Select at Naperville directly on this Monday past and they had not as yet finished adding into the computer all of the information from the contract that Martin has signed. They expected to have it all in by this weekend! He has a large block of rooms reserved, so call the hotel DIRECT during the day and make your reservation. The rate for the meet is $89 per night!

I'll second this and add that I was able to get the $89 rate from the 800
number, but I had to really fight for it. The person I spoke with
acknowledged the special rate and then proceeded to tell me the room rate
was $119. After repeatedly requestion the "advertised rate of $89" she
finally gave me exactly the same room at $89.

Interestingly enough, we had similar issues with the Hilton chain for
Prototype Rails 07. When you reserve for PR08, be sure to call the Cocoa
Beach Hilton directly!

Weeellll...not really. Here's the story on the Hilton at Cocoa Beach. Prototype Rails signs a contract with the Hilton including the number of rooms blocked for each night during about a week...a few days prior to the meet through a few days after the meet. As the number of rooms reserved nears the blocked number...on a daily basis...we ask the Hilton to add rooms to the block and they have no problem doing so...as long as there are rooms available in the hotel. The trick is deciding how many rooms to add. IOW, we wouldn't just reserve the entire hotel because we would then shut anyone else out and we couldn't sell all the rooms. The process of deciding how many rooms to add is done by us and the hotel itself, not the 800 number people. This can only be done during the prime shift...not on weekend days...because only sales people at the hotel are empowered to do it. 800 operators are not able to add rooms. I fully understand and agree with the need to operate in this way. There is NO problem, however, because our agreement with the hotel allows anyone attending Prototype Rails to get the meet's room rate regardless of the price at which the reservation was originally made. I can have any room rate changed to the meet's rate even after the attendee is in their room.

Of course, I have no idea how any other hotel operates. I will assure you that the Hilton's 800 operators are not trying to force anyone to accept a higher rate. I will also say that such operators might well be located on one of the moons of the planet Saturn and they might well not have information about Prototype Rails [ this HAS happened ] and they might also only speak in some lingo only familiar to those that live on that particular moon. As Jeff says, the most reliable method of making a reservation is to do so directly with the hotel at 321-799-0003 between 8AM and 4PM EDT during the week. If for any reason you CANNOT get the meet's rate...$99...let ME know. And don't forget...I can change the rate on any reservation for Prototype Rails to the meet's rate.
